Outlook - Creating Mail Rules - Blocking and Unblocking


Did you know that you can:

 

1. Set Outlook up to automatically file e-mails from a specific person into a folder?

2. Automatically send e-mail from a specific person to the Junk or Deleted folder?

3. Automatically forward e-mails to someone else?

4. Tell Outlook to NEVER block (or send to Junk)  e-mails from a specific person

 

 

Such actions are done with Mail Rules.  There are a few ways to set up mail rules.  I am going to show you 3 of them!

 

 

Method #1:

For #1 Set Outlook up to automatically file e-mails from a specific person into a folder?

1. Open Outlook

2. On the "Home" Tab look for "Rules"

3. Click on "Create or Manage Rules"

4.  If Outlook asks you to match rules - select "Server"

5. You can set your criteria on this next screen - or select the "Advanced Options" button

6. You may choose whatever is appropriate for you - however for #1 as an example Select "from" and set the from address to be the e-mail address of the person you wish to file.

7.  Click Next

8. Select what you would like to have happen with the "from" is what you have designated (for example: move it to s specified folder"

9. Click on the "specified folder" link

10. Choose the folder from your list of existing folders


Method 2:


#2  Automatically send e-mail from a specific person to the Junk or Deleted folder?

If you constantly get junk mail from THE SAME e-mail address.  Or maybe you just don't need to get an e-mail you are cc'd on regularly, you can choose to send ALL Mail from a specific address to the Junk Folder.

1. In your Inbox, find an e-mail from an address you do not wish to see again in the future.

2. Right Click on it

3. Select Junk
4. Click on Block Sender

ALL e-mail from that sender will not get filed in the Junk Folder



Method 3:

#4  Tell Outlook to NEVER block (or send to Junk)  e-mails from a specific person


You might find that Outlook is sending important e-mails that you need, to your Junk Folder!

1. In your Junk Folder, find an e-mail from an address you need to receive in your inbox

2. Right Click on it

3. Select Junk
4. Click on Never Block Sender

ALL e-mail from that specific e-mail address will now appear in your inbox so you do not miss it!
