Teams meetings in the conference center rooms.

If you are having a teams meeting in the conference center's rooms for a day-long or multiple day-long meeting, Here are some ideas for you to follow.

  • There are two meeting options: a regular teams meeting or a Teams webinar.
  • The webinar will give you more options to restrict.
  • Create morning and afternoon teams meetings to make it easy for remote attendees to access the correct meeting after extended breaks.
  • Make sure to add the Teams room device that is in the room.
  • Have some one on your team moderating the meeting. by muting attendees that might have forgot to mute. monitor the chat and q/a if that is on.  approving external attendees access to the meeting. and some one that can contact IT if the needed.
  • in room attendees can join the meeting also but make sure they click the Don't use audio.

Teams Meetings options

Set up the meeting with these options:

  1. Who can Bypass the lobby and set it to people in my organization. This will make it easier to have an outside guest to be admitted at the time of your choosing

2. Turn off announce when callers join or leave. This will have fewer interruptions.

  1.  Turn on record automatically. So you don't have to worry to turn it on.

The other options below are up to your meeting style. Perhaps you want to make camera and microphone access off for the meeting. Those settings are here for that.

Teams Webinar options.

I would use the same options as above.

The other option is Teams Webinar which gives you more control.
